Job Summary: 

As a member of HR department in Cox’s Bazar operations, this position will be mainly responsible for overall HR functions and coordination with the humanitarian response and other programs. S/he will facilitate the staff development initiatives, recruitment and selection, training & development, maintaining database, as well as support to maintain contract staff information including their time sheet and so on.

 

Key responsibilities include (not limited to):

Assisting recruitment and selection

Assist to the HR operation team for staff recruitment which includes but not limited to:

  • Follow recruitment plan/calendar, collect staff requisition form duly approved,
  • support hiring manager to prepare Job Description, prepare vacancy announcement and share to the job portal, the local newspaper, DC office and other relevant,
  • Support hiring manager/team for CV shortlisting, ensure standard communicate with the potential candidate thorough out the selection process including providing interview update, support to conduct the reference check.
  • Communicate with selected candidates, and ensure the candidate will submit all relevant documents during their joining, communicate with the ICT team for email and laptop requisition, if required in advance.
  • Assist, HR team to organise first-day induction and formal induction

 

Reporting

  • Prepare various qualitative and quantitative HR reports as and when required.
  • Provide data/information to various stakeholders, including project manager, CXB Leadership Team, ISCG, RRRC, DC Office, and relevant donors. 

 

Documentation

  • The incumbent will make sure all relevant documents are kept in personnel files in a proper manner and in time.
  • All documents need to be scanned and preserved in a cloud-based personnel file.
  • Maintain proper personnel file management and tracking system.
  • Maintain the confidentiality of personnel documents and information.

  

Volunteer database and payment

  • Provide support to the project team to hire volunteers.
  • Prepare database and files of volunteers. Issue volunteer ID card and make sure volunteers will return their card after their contract or any change of their duties, including the change of project, change of camps, etc.

 

Database management

  • Ensure staff information is properly updated in the ERP.
  • Support new joiners to use ERP from the staff end module.
  • Support staff to submit medical bills through ERP.
  • Support field staff to submit leave application form through ERP

 

Issuing letters for Staff and Staff correspondence

  • Prepare letter for contract extension of Cox’s Bazar Staff, memo for casual staff and other letters whenever necessary.
  • Assist staff preparing NOC.
  • Prepare and check bills like medical bill, advertisement bills

 

Staff & Volunteers Capacity Development

  • Work with Capacity Development Manager to provide different pieces of training and orientations to the staff and volunteers based in Cox’s Bazar and Rohingya camps

 

Relationships

The person holds this position, will be directly reportable to Human Resource Coordinator.

 

Required Educational Qualification and Experiences

Education

  • A Graduate degree/Post-Graduate degree, preferably in HRM


Experience

  • At least 3 years relevant experience in national or International Development Organization.


Required Competencies 

  • Excellent communication skills both in Bangla and English.
  • Outstanding interpersonal relationship building.
  • Excellent computer skills in a Microsoft Windows environment. Must include knowledge of Excel and skills in Human Resources Information Systems (HRIS).
  • Ability to work under pressure and meeting deadlines.
  • Ability to work in a Team.  
  • Understanding of Gender and Child Rights issues
  • High degree of Organisational abilities and multitasking skills.
  • Ability to respond to stressful situations with calmness and patience.
  • Able to maintain strict confidentiality and high degree of integrity in dealing with HR issues.
